This review roundup focuses on leading mind mapping software solutions in overlapping subcategories. None of the products in this category are name brands but most of them have impressive customer lists. At the low end, applications cost just a few dollars per user, and those costs extend to several hundred dollars for enterprise-worthy versions.

Two products, Bloomfire and Front & Main Honey, emphasize social aspects of traditional knowledge management approaches. Both products have a similar user experience (UX) to those of Facebook and Reddit. You could think of these as social intranets in other words. Their general use involves posting a series of online surveys, questions, or suggestions for colleagues' consideration. Colleagues, in turn, post answers and comments. Anyone can search for past discussion topics, and there's typically a way to 'like' and share the most useful threads.

For example, a product engineer could post an early draft of your company's latest widget to get department-wide feedback. A saleswoman could answer negotiation questions posed by junior staff or the entire team could have a discussion about their upcoming holiday party. Traditionally, such activities would happen by email or, at best, by using an intranet message board (if not physical memos). Modern software makes these collaboration tasks easier.

Bloomfire has some integration with Salesforce Chatter. But we think the general opportunity for Bloomfire, Front & Main Honey, or similar products is limited to the extent that tech giants such as Facebook fail to make headway in selling private installations to businesses.

Three other products—Mindjet MindManager 2016 for Windows, Expert Software Applications Mindomo, and XMind—are designed with mind mapping as their main function. Such apps are a mixture of flow charting and project management tools. Among these three, XMind stands out for being based on an open-source platform. Take the same scenarios as stated earlier. Rather than just discussing company ideas in a social environment (perhaps with kludged diagrams), the mind mapping tools let colleagues consider every detail of a plan in a very formal way. They aren't nearly as fun but their structure is more appropriate for conservative corporations—which is to say, most offices, even if the social products are sexier.

Expert Software Applications Mindomo is the Editors' Choice winner in this review roundup. It has all of the same basic features as XMind and Mindjet MindManager 2016 for Windows, but also includes a basic level of social networking. Mind mapping is simply a visual way to convey your thoughts and ideas. As a concept, mind mapping is widely attributed to inventor Tony Buzan who believes they are the best way to take notes. Buzan says a mind map 'harnesses the full range of cortical skills—word, image, number, logic, rhythm, color and spatial awareness—in a single, uniquely powerful manner.' In the book, The Mind Map Book: How to Use Radiant Thinking to Maximize Your Brain's Untapped Potential,' co-author Buzan describes mind maps as 'being constructed in a colorful, tree-like fashion.'

And in his article on mind maps, PCMag's Rob Marvin explains mind mapping as a 'visual means of organizing information, typically through a web-like diagram,' and describes ways in which project managers can use mind maps to visualize every moving part of their project workflow.

Ideas for Improvement

We have a few suggestions for how mind mapping products could be more even more useful; these suggestions center around adding artificial intelligence (AI) and wiki integration and beefing up security. In the social-first services, we think an interesting addition would be AI software that scans users' browsing, customer relationship management (CRM), email, and database activities to automatically suggest when useful information should be captured.

Because these products are all intended to help manage your team members' big ideas, we think they should include tools for integrating with a wiki. Other than the Bloomfire/Salesforce.com partnership, these products don't yet work deeply with CRM software and human resources (HR) products.

And, other than normal cloud service log-ins and a way to password-protect various tidbits here and there, none of the apps focus heavily on security. Some businesses may be leery of buying a product specifically to hold their employees' best ideas unless there are extremely strong security pitches. There should be an option for marking content as only accessible when you touch your device's fingerprint sensor. That way, even if you lose your phone when it's in an unlocked mode, the person who finds it still cannot access your company's best ideas.

Still, any of the mind mapping software solutions in this review roundup will be helpful to your business as they currently stand. Giving employees a structured way to record and share their ideas with each other solves the problem of good ideas being lost to cliques and unproductive meetings or at the proverbial water cooler.

Products such as Front & Main Honey have an extremely low barrier to entry, XMind has impressive developer tools (and can be improved by letting your programmers run wild with its open-source code base), and Expert Software Applications Mindomo represents the beginning of what could be, as the subcategories of social intranets and mind mapping software discover each other. Bloomfire is a powerful cloud app, and Mindjet MindManager 2016 for Windows has strong Microsoft Office integration. The field decidedly lacks an app that does all of these things very well, but it will be interesting to check back in 12 months to see where things stand.

Mind mapping is a technique for visualizing and developing ideas. Unlike linear note taking, mind mapping mimics the way our brain radiates ideas and connects them through natural associations. That makes them ideal for brainstorming, planning complex projects, and writing everything from business plans to novel plots.

Mind maps always start with a central concept, represented by an image or text, in the middle of the map. As you begin to free associate, you build branches out from this main node, then branch off of those ideas, and so on.

MindMeister

MindMeister is one of the most popular mind-mapping tools. Building a mind map in this browser-based app is as simple as entering your central concept then hitting Tab to create each branch. You can choose from a selection of prefab map themes or customize your own with a range of color and formatting options. All your maps are securely stored in the cloud. MindMeister also features a presentation mode that transforms your finished maps into slideshows you can post or broadcast live online.

While you can easily use MindMeister for personal brainstorming, its strongest appeal is its set of collaboration features. You can share your mind maps with internal or external collaborators, exchange feedback, assign tasks to team members, and chat in real time right in the map editor. MindMeister also integrates with Google Hangouts so you and others can brainstorm together during video conferences.

MindMeister offers three tiered plans: Personal for $6 per user/per month, Pro for $10 per user/per month, and Business for $15 per user/per month. There are also free apps for iOS and Android that let you view, edit, and present your maps.

Coggle is another browser-based mind-map tool, and all you need is your Google login to get started. You’re presented with a blank white screen with a field for your central idea at the center. To enter your first subtopic, you just click one of the the plus signs that appears when you hover your mouse over your this node. Continue in this way to build more branches. You can move any individual branch or your entire map by clicking and dragging it.

Coggle offers a full slate of collaborative tools, too, including sharing, versioning, commenting, and edit tracking. You can also chat with collaborators inside the workspace. Paid versions add presentation mode and the ability to drag-and-drop images from your desktop, among other features.

You can get Coggle in three flavors: Free, Awesome for $5 per month, and Organization—which adds more business security features—for $8 per user/per month.

MindNode 2

MindNode 2 brings powerful mind mapping to Mac users. As with the above tools, Mind Node 2 presents you with a central node for your main idea, and you add sub-nodes by clicking the appropriate plus sign. Individual and connected nodes can be dragged and dropped around the workspace.

One of MindNode 2’s unique features is Notes Popover, which allows you to add more details to a pop-up notes field attached to each node. You can also detach these notes and move them anywhere on your screen if you want them open and accessible.

Among MindNode’s other features are the ability to upload images to your map from your Mac, an outline view that displays your map in a more conventional hierarchy, and plenty of formatting and color options to make your maps more visually appealing. You can share your maps by exporting them to one of several file formats, including image, text, PDF, and OPML.

You can get MindNode2 in the Mac app store for $30. The iOS app for iPhone and iPad is free.

Text 2 Mind Map

When the ideas come fast and furious, you don’t want to bother with a lot of formatting and styling. Text 2 Mind Map is the perfect tool for these situations—it builds the mind map so you don’t have to.

You just outline your text into this browser-based tool and it will take your hierarchical points and transform them into a full-color mind map. Once the map is created, you can drag and reposition nodes or the whole map within the workspace. Text 2 Mind Map offers limited options for formatting text and colors, but mostly keeps things no-nonsense. When your map is done, you can save it to the cloud or download it to your computer.

Used to be, people maintained literal personal phonebooks. Books into which they scrawled the names, numbers, and addresses of their friends and family members. Those were dark times.

In 2014, there’s no need for such old-fashioned foofaraw. Your Mac and iOS devices can sync all your contacts for you, and store more data than those books of yore could have handled even if you wrote with the sharpest of number two pencils. There are plenty of ways to deal with your contacts’ information, so which method do you choose?

I spoke with Apple experts Glenn Fleishman, John Moltz, Jaimee Newberry, David Sparks, and Marco Tabini about how they organize their contacts. The upshot: No one’s thrilled with how they organize that Rolodexical data, but there are numerous approaches that work “well enough.”

How they sync contacts

Making sure that you can access every address in your address book on all your devices is a top priority for contact management. Syncing contacts is a big deal.

You have options: For example, you can use iCloud to sync contacts between Apple devices (iPhones, Macs, iPads) or you can use services like Google or Microsoft Exchange to sync instead—particularly if you need to sync your contacts with non-Apple devices, or if you just question iCloud’s reliability.

Each of the five experts I spoke to uses iCloud for contact syncing; I’m the lone outlier who relies on Google’s syncing instead. But the reliance on iCloud, at least on occasion, seems at best unenthusiastic:

Macworld senior contributor Glenn Fleishman said his dependence on iCloud “is stupid of me, as I shouldn’t trust it.” But another contributor, Marco Tabini, said that “so far, iCloud does an admirable job of keeping everything in sync and safe from loss.”

Macworld contributor and cohost of the Mac Power Users podcast David Sparks sticks with iCloud because “Microsoft Exchange has been a little more spotty. I think part of my hang-up is I remember how terrible contact syncing was back in the Palm Pilot days. That platform used to randomly make multiple copies of contacts with no rhyme or reason.” When Sparks runs into trouble now, he uses the $5 app Contacts Cleaner to eliminate duplicates and fix other issues.

How they organize their contacts

For organizing their contacts, every Mac expert I spoke to relies on Apple’s own Contacts apps on the Mac and iOS. Again, I’m the lone outlier, clinging to Google’s (horrendous) contact-management tools on the Web—mostly due to inertia: I started using Google’s contact management before iCloud existed, and I just haven’t taken the time to switch.

Jaimee Newberry—a speaker, writer, and podcast host—doesn’t only use Contacts; she also uses the Web service and app Sincerely to manage mailing addresses. She likes the service in part because it makes quick work of sending actual postal mail from a computer or iOS device, so she relies on it for managing those addresses.

For organizing their contacts, every Mac expert I spoke to relies on Apple’s own Contacts apps on the Mac and iOS.

Sparks, who is also a lawyer, occasionally considers a move beyond Contacts: “Part of me really wants to geek out with one of those online customer relationship managers to handle all my calls to clients, lawyers, and everyone else I deal with in my day job…. Instead I keep it simple and use the Apple Contacts application to sync my personal iCloud contacts and my office’s Exchange-based contact list.”

How they add contacts

Still, Sparks doesn’t love adding or editing his contacts with Apple’s Contacts. “It takes far too many mouse clicks to get things rolling.” Although he stores his contacts in Apple’s app, he also uses the free (with in-app purchases) Cobook app, “which is much faster and always rests in my menu bar.”

Cobook, which I only looked at on Sparks’s recommendation, can merge contact data from various places, including—for free—Facebook, Google, and Twitter. It can work either from the addresses stored in the Contacts app (which, in general, live in your iCloud account) or from your Google contacts. Updating contact data in Cobook definitely takes fewer steps than using the Contacts app, and the changes you make sync quickly via whichever service you rely on.

Tabini uses the Contacts app on his iPhone to add contacts, but when he’s adding new entries into the database on his Mac, he actually relies on Apple’s Mail app: “I’ve found Mail’s data detectors to work well most of the time—they make adding new contacts fairly convenient, at least compared to doing so by hand.”

How they share contacts (when they share at all)

Both OS X and iOS aim to make it easy to share contact information through email, Messages, Mail, or AirDrop, which is especially useful when you need to give your information to someone in lieu of a traditional business card.

Tabini offered up a tip: “Make sure you keep a contact for yourself, with all your current email, address, and phone coordinates handy, so that you can quickly share it with others…. It’s such a simple way to be ready whenever you need to hand off your information to someone without having to fumble through your contacts—or, worse, having to tell someone your phone number.”

Most of the experts didn’t care much about sharing features, though. Fleishman and Newberry both said that they don’t share contact information with others. Said Moltz: “Occasionally I will share a contact with my wife. I usually do that via emailing the contact card to her.”

Sparks added: “I’ve never bumped anyone.”

How they manage contacts

Managing your contacts—keeping them up-to-date and error-free—takes work. And keeping them truly organized takes even more work.

So what have we learned?

None of the five experts have encountered syncing catastrophes with iCloud, which is a good sign. Interestingly, Apple’s own apps—like many others—are pretty good at handling contact data from multiple sources; so even as a Google-based contact-syncer, I’m able to use Apple’s apps (and now Cobook!) to manage my address book.

External hard drives are an inexpensive way to store our digital photos. For Mac users like me, external storage is often the only way to hold an image library that contains thousands, or hundreds of thousands, of digital images. Choosing an external drive isn't as simple as buying the most expensive one you can afford, however. The capacity and type of storage mechanism are the two most important factors to consider, and each one will increase or decrease the cost dramatically depending on your needs. Other factors include the physical size of the drive (is it designed to be carted around or to sit on your desk?), how rugged it is, the interface it uses to connect to your PC, and even what colors it comes in. This guide will help you make sense of all the options. Here are the key questions to ask as you shop.

The Need for Speed: Hard Drive or SSD?

Solid-state drives (SSDs) have fewer moving parts than traditional hard drives, and they offer the speediest access to your data. Unlike a conventional disk-based hard drive, which stores data on a spinning platter or platters accessed by a moving magnetic head, an SSD uses a collection of flash cells—similar to the ones that make up a computer's RAM—to save data.

Just how much faster is it to access data stored in flash cells than those stored on a spinning platter? Typical read and write speeds for consumer drives with a single spinning platter are in the 100MBps to 200MBps range, depending on their USB interface and whether they spin at 5,400rpm (more common) or 7,200rpm (more expensive and less common). External SSDs offer twice that speed and sometimes much more, with typical results on our benchmark tests in excess of 400MBps. Practically speaking, this means you can move gigabytes of data (say, a 4GB feature-length film, or a year's worth of family photos) to your external SSD in seconds rather than the minutes it would take with an external spinning drive.

Not only is it faster to read and write data stored in flash cells than those stored on a spinning platter, but it's also safer. Because there is no spinning platter or moving magnetic head, if you bump the SSD while you're accessing its data, there is no risk that your files will become corrupted and unreadable.

While external SSDs are now readily available and cheaper than they were a few years ago, they're not a complete replacement for spinning drives. Larger external drives designed to stay on your desk or in a server closet still mostly use spinning drives, taking advantage of their higher capacities and lower prices compared with SSDs.

Physical Size Matters: Desktop or Portable Drive?

If you have a large photo or video collection—perhaps you are a photo or video editor, or maybe a movie buff—you'll likely need several terabytes of space in which to store it. So your best option is a desktop-class drive. We define these as having one or more spinning-platter drives inside and requiring its own dedicated power cable. Of course, in this scenario, your files are going to have to stay at your desk.

A desktop drive with a single platter mechanism inside will typically use a 3.5-inch drive inside and will be found in capacities up to 12TB, and most are roughly 5 inches tall and 2 inches wide. In addition to storing large media collections, these drives can also serve as inexpensive repositories for backups of your computer's hard drive that you schedule using either the software that came with the drive or a third-party backup utility.

The next size up for consumer desktop drives is about the same height but twice as wide to accommodate additional drive mechanisms in the chassis, such as with the Western Digital My Book Duo. These larger drives are more expensive but also much more capacious; the highest-capacity current models employ two drives for up to 20TB of storage. Note: In the case of these and single-platter-drive products, you're not meant to swap out the drive or drives inside.

The largest desktop drives are often much, much larger than the first two categories, so large that you'll want to stick them under your desk or in a dedicated server closet. They're mostly intended for professional use in editing studios, surveillance control rooms, and the like. Their defining characteristic is the ability to swap drives in and out easily, so they provide quick access to the drive bays at the front of the device. Most are sold without drives included, so you can install any drive you want (usually, 3.5-inch drives, but some support 2.5-inchers). Their total storage capacities are usually limited only by their number of available bays and the capacities of the drives you put in them.

At the other end of the physical-size spectrum are portable drives, some of which now use an SSD inside instead of a spinning platter to save space, as well as to increase throughput and durability. These drives can be truly tiny, weighing just a few ounces and with their largest sides measuring less than 3 inches long, like with the Samsung Portable SSD T5. Others use spinning platters and are a bit larger, like the LaCie Porsche Design Mobile Drive, but they still fit easily in a purse or even a coat pocket. Portable drives get their power from the computer to which you connect them, through the interface cable, so there's no need for a spare wall outlet.

Need Redundancy or Extreme Speed? Consider a RAID

If you buy a larger desktop drive with two or more spinning platters, you'll almost certainly have the ability to configure the drive as a RAID array using included software. Depending on which RAID level you choose, you can prioritize capacity, speed, or data redundancy, or some combination thereof.

A collection of spinning drives configured with a RAID level designed for faster access can approximate the speeds of an SSD, while you should consider a drive with support for RAID levels 1, 5, or 10 if you're storing really important data that you can't afford to lose. What Interface Should You Look For?

How an external drive connects to your PC or Mac is second only to the type of storage mechanism it uses in determining how fast you'll be able to access data. Unfortunately, these connection types are constantly changing, and the internet is littered with outdated references to legacy interface types such as eSATA and FireWire.

Right now, the fastest mainstream connection type is Thunderbolt 3, which is handy assuming you have a newer laptop or desktop with a Thunderbolt 3 port. All late-model Apple laptops have them, but they're much scarcer on Windows machines. This interface uses a USB Type-C connector and offers blazing throughput of 40GBps. As an added bonus, a desktop drive that supports Thunderbolt 3 might also come with additional DisplayPort and USB connections that allow you to use the drive box as a hub for your keyboard, mouse, monitor, and other peripherals.

You'll really only see the speed benefits of Thunderbolt 3, however, if you have a drive that's SSD-based, or a RAID array. If you'd rather save money than time transferring your data, if you're buying a desktop drive with a single platter-based mechanism inside, or if you have a PC that lacks Thunderbolt 3, you'll want to make sure your drive has a USB connection. Nearly every recent drive we reviewed supports USB, and the same goes for laptops and desktops.

Not all USB ports are created equal, though. The most prevalent is the standard rectangle shape (called Type-A) that's been present on devices for decades. The oval-shaped Type-C connector is quickly gaining traction, though. It's capable of supporting the USB 3.1 standard in addition to Thunderbolt 3, though most Type-C ports include only the former. If you buy a drive with a Type-C cable, make sure it also includes a cable with a rectangular Type-A plug if your PC lacks a Type-C port. Otherwise, you'll need to buy a separate cable or adapter.

Do You Need to Go Rugged?

If you carry your drive around frequently, you'll want to pay attention to how rugged the drive is. Some models include plastic bumpers, and some even meet military standards for shock and dust protection. (Look for support for specifications such as IP67 or IP68.)

And of course, if you're carrying your drive around with you, you want it to look nice. Some, like the Samsung T5, come in multiple colors, while others, like the ADATA SD700, are super-slim and ready to be tossed in a pocket.

Perhaps the only thing you don't need to pay much attention to is the warranty. If your drive breaks because you damaged it, the warranty likely won't cover it. Even if the drive fails because of a manufacturing defect, most warranties simply replace the drive and don't cover the cost of recovery services that attempt to rescue your data from the broken drive.

You may wish to use an external FireWire or USB hard drive to store your Aperture Library, referenced images, or Vaults. Like Matias’s keyboards, the Model S has a solid, recognizable, mechanical feel, but they differ in their key travel and switch sensation. Matias’s ALPS-made keyswitches produce a hollow “clunk” sound, while Das Keyboard’s Cherry MX switches offer a crisp “click.” But the sensation in each case is precise, highly tactile, and quite physical—nothing like the soft, mushy, indistinct key presses you experience with a membrane keyboard.

Like many other typists who prefer mechanical keyboards, I find them more accurate and easier to type on than membrane keyboards. To increase precision, Das Keyboard equipped the Model S Professional with circuitry that permits five-key rollover: You can press up to five keys simultaneously, and the keyboard will still detect the discrete presses and accurately generate the appropriate characters. As Das Keyboard notes, the feature benefits not just fast typists but also gamers, who frequently mash multiple keys at once.

Mechanical keyboards are considerably louder than membrane keyboards, so if you work in a shared office environment or need a quiet keyboard for dictation or for typing while you’re on the phone, the clicky-clack sound of the Model S Professional may be a drawback. The Model S’s keys aren’t as quiet as those of Matias’s Quiet Pro [], but they do beat the Matias Tactile Pro 3's keys.

(Das Keyboard offers a $135 Soft Pressure Point version of the Model S Professional that, like the Quiet Pro, delivers the feel of a mechanical-keyboard without the noise. Though the Soft version is available only in a Windows PC model, you can buy a $14 Mac Key Cap Set to swap out the Windows-specific keys for Mac versions.)

Mac-focused accouterments of the Model S Professional for Mac include a bottom row hosting Control, Option, and Command keys. F6 through F11 are media-control keys that handle back, play/pause, forward, volume mute, volume down, and volume up, respectively; F1 is mapped to a handy sleep function. You don't need any special software to get these keys to work with OS X—or to use the keyboard with a Mac.

The keyboard’s 104-key layout is standard, with F-keys properly separated from the main key area and grouped into pods of four, so touch-typists can easily find the keys by feel (Apple’s keyboards, in contrast, position F-keys in an uninterrupted, half-height row adjacent to the number keys). Whereas Matias’s Mac keyboards include three additional F-keys and an Eject key above the number pad, the Model S does not.

Bottom line

The Model S Professional For Mac represents a good Mac-specific start for Das Keyboard. It provides a solid and reassuringly physical mechanical-keyboard experience, and its keyswitch technology and physical design differentiate it from the popular Matias offerings, providing a crisp, clicky sensation. However, I hope the next version of the Model S will offer standard Mac function keys, instead of just media-control keys.
